1. Who this notice applies to
This notice explains how PSOI Services collects, uses, discloses, protects and retains personal data submitted through this incorporation onboarding portal. It covers prospective clients, founders, directors, shareholders, controllers, nominators, authorised representatives and other individuals whose information is supplied for a proposed engagement.
2. Information we collect
We may collect contact details, identity and nationality information, residential and contact addresses, dates of birth, occupation, company roles, ownership and control information, proposed business activities, source-of-funds information, declarations, correspondence, and uploaded identity or supporting documents. Technical security records such as session events and IP-derived rate-limit identifiers may also be processed.
3. Why we use it
We use the information to assess and respond to incorporation enquiries, verify identity and authority, conduct customer due diligence and risk assessment, identify directors, shareholders, controllers and nominee arrangements, prepare agreed corporate services, comply with applicable legal or regulatory duties, communicate about the application, prevent misuse, and maintain appropriate business records.
4. Consent and other permitted use
By submitting information, you confirm that you are authorised to provide it and that the affected individuals have been appropriately notified where required. We may also collect, use or disclose information without consent where permitted or required by Singapore law.
5. Sharing and overseas processing
Information may be shared, where necessary and subject to appropriate safeguards, with authorised PSOI personnel, professional advisers, identity or sanctions-screening providers, technology and hosting providers, banks or payment institutions you ask us to approach, ACRA or other government bodies, and law-enforcement or regulatory authorities. Some technology providers may process data outside Singapore; comparable protection arrangements should be maintained where the PDPA requires them.
6. Security
The portal encrypts questionnaire payloads and uploaded files before database storage, uses expiring secure sessions, rate limiting and staff authentication, and does not place client records in the public source repository. No system is risk-free. Please contact us promptly if you believe your recovery code or access has been compromised.
7. Retention
We retain personal data only for as long as it reasonably serves the purpose for which it was collected or is required for legal, regulatory, risk-management or legitimate business purposes. Drafts that do not proceed and completed engagement records should follow PSOI's approved retention and secure-deletion schedule.
8. Access, correction and questions
You may ask about personal data under our control or request correction, subject to applicable law. Contact our data-protection enquiry channel at psoi.services2025@gmail.com. We may need to verify your identity before acting on a request.
9. Changes
We may update this notice when the service, providers or legal requirements change. The date above shows the latest version.
